Not every suspicious email is a confirmed attack
Some reported messages turn out to be spam or legitimate mail; others are phishing attempts. In one Blue Tree Technology® ticket, a reported document-signing message was investigated, marked malicious, and removed from the employee’s inbox. That decision followed a review rather than an assumption based on the subject line.
A useful reporting process makes it easy for employees to ask without being embarrassed if the message turns out to be harmless.
A typical investigation answers four questions
- Is the message malicious, unwanted, or legitimate? Look at the sender, content, delivery path, and security tool findings.
- Where else did it arrive? Check whether other mailboxes received the same message.
- Did anyone interact with it? Opening a message, clicking a link, and entering a password are different events with different consequences.
- What has already been contained? Confirm whether filters quarantined or removed copies and whether further action is required.
A real example of why follow-up matters
In another support case, a phishing message was quarantined after someone had already opened it. The follow-up was important: the team confirmed that the person had not clicked a link or opened an attachment. The technician documented the result rather than treating an opened email as proof of compromise.
In a separate alert involving multiple recipients, our team confirmed the filtering action, checked whether links had been clicked, and updated the customer. Specific recipient counts and mailbox details are intentionally omitted here.
What employees should do immediately
- Do not click links, open unexpected attachments, or reply with information.
- Use the company’s established report-phishing process or contact IT directly.
- If you already entered a password or approved a sign-in, tell IT exactly what happened as soon as possible.
- Do not forward the suspicious message to coworkers to ask what they think. Security tools matter, but clear reporting and careful follow-up matter just as much. Blue Tree Technology® can help businesses make the reporting process simple and the response accountable.
